Terms & Conditions

Effective September 13, 2026. These Terms & Conditions describe the relationship between River City Partners and travelers who use our planning, advisory, and booking services.

Our Role

River City Partners acts as a travel advisor and intermediary between travelers and independent travel suppliers. Those suppliers may include airlines, cruise lines, hotels, resorts, tour operators, ground transportation companies, travel wholesalers, insurers, and other providers. River City Partners does not own, operate, or control those suppliers.

Quotes, Pricing, and Availability

Travel prices, promotions, schedules, cabin or room availability, taxes, fees, and supplier terms can change until a reservation is confirmed. Quotes are based on information available at the time they are prepared. A reservation is not guaranteed until the supplier confirms it and any required payment has been processed.

Traveler Responsibilities

Travelers are responsible for providing accurate legal names, dates of birth, contact information, and other booking details; reviewing confirmations and invoices promptly; making payments by stated deadlines; and notifying River City Partners promptly of any errors or changes. Travelers are also responsible for obtaining and carrying required passports, visas, identification, vaccinations, entry documents, parental authorizations, and other travel documents.

Supplier Terms

All reservations are subject to the terms and conditions of the applicable supplier. Supplier rules govern deposits, final payments, cancellations, refunds, changes, credits, baggage, check-in, conduct, denied boarding, itinerary changes, and other aspects of the travel service. By authorizing a booking, the traveler agrees to the applicable supplier terms.

Travel Disruptions and Supplier Performance

Travel may be affected by weather, mechanical issues, labor actions, government actions, health events, schedule changes, natural disasters, civil unrest, supplier insolvency, and other events beyond River City Partners' control. We will assist clients when reasonably possible, but we cannot guarantee supplier performance, uninterrupted travel, specific outcomes, or reimbursement for events controlled by third parties.

Travel Protection

Travel protection is strongly recommended because many travel purchases are nonrefundable or subject to penalties. Any insurance or protection plan is governed solely by its policy or plan documents. Coverage decisions and claims are made by the insurer or plan provider, not by River City Partners. Purchase of a plan does not guarantee that a particular loss will be covered.

Health, Safety, and Accessibility

Travelers are responsible for evaluating whether a trip is appropriate for their health, mobility, and personal circumstances. Please communicate accessibility, dietary, medical, or other special needs as early as possible. River City Partners will communicate requests to suppliers when appropriate, but fulfillment is subject to supplier capabilities and cannot be guaranteed.

Limitation of Responsibility

To the extent permitted by law, River City Partners is not responsible for acts, errors, omissions, delays, injuries, losses, damages, or failures caused by independent suppliers or events outside our reasonable control. Nothing in these terms limits any rights that cannot legally be waived.

Governing Law

These terms are governed by the laws of the State of Indiana, without regard to conflict-of-law principles, except where applicable law requires otherwise.
